01 — The Group Hub

One shared space. Four views. Everything your group needs.

When a Group  is created, every member gets access to the same Group Hub — a shared  workspace with four dedicated views. Overview shows the full event calendar  for the month. Events lets admins create, manage, and filter all training  events. Members shows who is in the Group, their roles, and gives admins the  tools to invite, promote, or remove users. Records shows every completed  training that has been logged through the Group.

Groups also  includes a Tasks panel — surfacing outstanding events or admin tasks that  need attention — and a Settings tab for Group configuration. Everything a  group coordinator needs to run a cross-team training program is in one place,  accessible to every member from their own DogBase account.

Shared coordination. Separate data. By design.
When handlers from different organizations join a Group, their underlying DogBase accounts remain completely separate. Their dogs, their training records, their health data, their files — none of it is shared with the Group or its members. What is shared is the coordination layer: scheduled events, assigned sessions, and completion records. This is not a privacy setting that an admin has to enable. It is the architecture. A Group is a shared workspace on top of independent accounts — not a merged account with access controls.

Coordination that prepares people — not just notifies them
A calendar invite tells someone when to show up. A DogBase Group event tells them when to show up, what training type they are doing, what session structure to follow, and what data to capture. Because events are connected to the Type Builder, the session is pre-structured before the member arrives. They log their completion using a format that is already defined — consistent across every member, every event, every Group. The difference between “coordination” and “scheduling” is the difference between people showing up prepared and people showing up guessing.

If joining takes more than 10 seconds, people won’t join
Working dog teams operate in environments where technology adoption is hard-won. If joining a shared training Group requires IT involvement, email verification chains, or admin approval workflows, participation drops before it starts. DogBase Groups use a single 8-character code: share it by message, email, or out loud at a briefing. The handler enters it and they are in. No approval queue. No account linking. No onboarding steps. The simplicity is intentional — because the value of a Group is directly proportional to how many people actually join it.

Accountability across organizations — without access to their data
A SAR coordinator needs to confirm that all mutual aid handlers completed a mandatory joint exercise. A sport club organizer needs to verify which competitors finished the required sessions during a training weekend. A trainer managing a cohort across multiple programs needs progress visibility without logging into each handler’s account. The Group Records tab provides this: structured completion data across every member and every event, visible to Group admins, built from the same training log format used across the rest of DogBase. The admin sees completions. They do not see the handler’s private training history, health data, or files.

DogBase is one of the few K9 logs that caters specifically to Search and Rescue (SAR). I am a relatively new user, but impressed by the amount of versatility it has to offer. I've used other K9 logs in the past, but they were focused on Law Enforcement and were not as detailed for SAR work, as is DogBase. Detailed record keeping is essential if you want to learn to identify the good and the bad in your training routines and to maintain your credibility as a search team. In my opinion, DogBase does the job.
